Email verification

Require a single-use code sent by SMS or email at the moment of signing.

Record signer name, email, IP address, device and timestamp with each signature.
PDF signature certificates & standards
Class 2 & Class 3 DSC
Sign with Class 2 or Class 3 digital signature certificates, including USB-token-based keys.
PAdES-compliant signatures
PDF signatures follow the PAdES standard, embedding validity directly in the file.
Trusted timestamping
RFC 3161 timestamps prove exactly when each document was signed.
Long-Term Validation (LTV)
Embed revocation and chain data so signatures stay verifiable for years.
Trusted-root certificates
Certificates chain to trusted roots so signatures validate in Adobe and standard PDF readers.
Signature assurance levels
Choose Simple (SES), Advanced (AES) or Qualified (QES) e-signatures per document.
Signed contracts you can actually find again
Most e-signature tools stop at the signature: the signed PDF is emailed out and filed somewhere else. In FileEazy, signing happens inside your document management system, so AI-powered capture and search work on every signed document.
OCR on every signed document
Scanned and signed PDFs are turned into searchable text, in Japanese and English.
Search inside your contracts
Find a clause, counterparty or amount in the text of any signed agreement, together with its fields and signing status.
Filters and saved searches
Narrow results by exact phrase or partial match, and save the searches your team runs every week.
Evidence stays with the file
Each signer's verification and timestamp are kept with the signed document, not in a separate e-signature account.
Signing is native to FileEazy — not a resold third-party add-on you manage separately.
Sign as much as you need — no metered per-signature or per-envelope pricing.
Each signature stays tied to its record, workflow and audit trail — nothing scattered.

Frequently asked questions
Are FileEazy e-signatures legally binding?
Electronic signatures are recognised for most business contracts in Japan, the United States (ESIGN Act and UETA) and the EU (eIDAS). FileEazy records who signed, when and how they were verified, and certificate-based signing is available on Business and Premium. Some documents still require paper or specific formalities, so check those with your advisers.
Are there per-envelope fees?
No. Every plan includes a monthly allowance of signature requests shared across the workspace, with no per-envelope or per-send fees. See the pricing page for each plan's allowance.
How does AI help with signed documents?
Signed and scanned documents are processed with OCR, so their full text becomes searchable alongside contract fields and signing status. You can find a clause or counterparty across every signed agreement and save the searches you use often.
How are signers verified?
Signers can be asked to enter a one-time passcode sent to their email before signing, and every step is recorded in the signature audit trail. Signers do not need a FileEazy account.
Can we sign with our own company certificate?
Yes, on Business and Premium. We can obtain and manage a dedicated company certificate for you as an add-on, or you can bring your own certificate, such as a PKCS#12 file or a hardware token, at no extra charge.
