Pricing and Billing
How is pricing calculated?
Each plan has one monthly price for your whole account, and that price includes a set number of users: 3 on Starter, 10 on Standard, 25 on Business and 50 on Premium. There is no per-user charge. On annual billing the plans cost $39, $129, $349 and $599 a month. If you need more users than your plan includes, add them in packs of 3. Larger organizations can ask us about Enterprise.
What is the difference between monthly and annual billing?
Annual billing is our best rate and locks in that price for the full 12-month term — it stays the same even if we raise prices later, until you renew. Monthly billing costs about 20% more in exchange for the freedom to cancel or change any month. Switching to annual saves you about 17%.
What happens if your prices change during my contract period?
Your price is locked for the length of your current term, whether monthly or annual — a price change never affects time you've already paid for. The new price only takes effect once your current term ends and your plan renews, and we'll always notify you in advance before any price change takes effect.
Can I add more users later?
Yes. Add users at any time in packs of 3: $36 per pack a month on Standard, $48 on Business and $60 on Premium (annual billing). Starter doesn't sell packs — move up to Standard instead. Premium goes up to 100 users; beyond that, talk to us about Enterprise.
I have 100 employees in my company. Do I need a plan that covers all of them?
No. Your plan only needs to cover the people who will work in FileEazy — creating, editing and managing documents and records. Everyone else can be a free view-only user.
What if I want all of my employees to access FileEazy, but not really operating it? For example, all the employees want to submit their expense claims, or submit a leave application, or input a timesheet on a daily basis.
This is where FileEazy scores over other products. Say you are a 100-employee company on Standard, which includes 10 users — enough for your HR, Finance, IT, Purchase and Sales staff. Everyone else can be a view-only user, at no extra cost (Standard includes 50, Business 250 and Premium unlimited). View-only users can work with their own data, such as adding a timesheet entry or submitting a request; when they sign in they only see the apps and lists assigned to them, and only their own data.
What if I need more storage?
Add storage in 100 GB blocks at any time, from the calculator or by contacting us. Extra storage is billed with your plan; you can reduce it at renewal, as long as what you have stored still fits. Your monthly download allowance grows with it: downloads are included up to the amount of storage in your plan, under our fair-use policy.
Is there a free trial?
Yes. Every new subscription starts with a free trial: 30 days on annual billing and 7 days on monthly billing. Billing starts only when the trial ends, and you can cancel before then at no cost. During the trial, storage is limited to 10 GB. If you pay by card, you register it at signup; customers in Japan paying by invoice don't need a card.
Is there any limit during the free trial period?
During the trial you get your plan's full features and allowances — users, e-signature requests, OCR pages and AI tokens — with one exception: storage is limited to 10 GB until your first payment, after which your plan's full storage unlocks. That's enough for tens of thousands of everyday documents. If you need more for a proper evaluation, such as trying an archive migration, contact us and we can agree a larger trial. As on every plan, downloads are covered by our fair-use policy.
Is there a limit on downloads or bandwidth?
Downloads are covered by fair use. Each month your plan includes downloads and other data transferred out of FileEazy — viewing, downloading, sharing links, sync and API access — up to the amount of storage in your plan, including any storage you've added (for example, 1 TB a month on Business). Exporting your data when you leave doesn't count. Most teams use a small fraction of this. If you regularly need more, we'll contact you first and agree a solution, such as more storage, a higher plan or an extra data transfer allowance.
Can documents be signed with our own company certificate?
Yes, on Business and Premium. Documents are normally signed with a certificate provided by FileEazy. If you want signatures to carry your organization's own name, we can obtain and manage a dedicated company certificate for you for $60 a month, including issuance, secure key storage and annual renewal. Or bring your own certificate — a PKCS#12 file or a hardware token — at no extra charge; you then keep it valid and renewed yourself. Contact us to set up either option.
Can I switch plans or change billing period?
Absolutely. You can upgrade, downgrade, or switch between monthly and annual billing at any time. Upgrades take effect immediately; changes to a lower tier apply at your next renewal. Example 1 — annual to monthly: you are on Business annual at $349 a month. You switch to monthly at your renewal date and pay $419 a month, with the freedom to cancel any month. Example 2 — Premium to Business: you are on Premium at $599 a month with 8 months left in your term. Business is a lower tier, so the change takes effect at renewal; from that date you pay $349 a month, and Premium-only features such as IMAP mailboxes stop at the same time.
Are there any setup or hidden fees?
No. There are no setup fees, onboarding charges, or hidden costs. You only pay for your plan and any add-ons you choose. Prices are shown before tax; customers in Japan pay 10% consumption tax on top, shown at checkout.
What happens if I exceed my plan limits?
We'll notify you well before you reach a limit. You can add users, storage, e-signature requests, OCR pages or AI tokens through add-ons, or move to a higher plan — your data is never deleted for going over a limit.
I want a feature that is not listed in the plan I want to buy. Can I still get it?
Yes. You can purchase individual modules from a higher plan and add them to your current tier. Please contact us and we’ll set it up for you.
Can we use our own AI subscription?
Yes, on Business and above. Connect your organization's own AI provider API account — OpenAI, Azure OpenAI, Anthropic, Google Gemini or a self-hosted model — and FileEazy's AI features run on it with no token limit; your provider bills you directly. You'll need an API key from the provider: consumer chat subscriptions such as ChatGPT Plus or Claude Pro can't be connected to other software.
Is there an Enterprise plan?
Yes. Enterprise is for organizations with more than 100 users, on-premise deployment, or custom terms — limits and pricing are set to your needs. Contact us for a quote.
Do prices include tax?
Prices are shown before tax. Customers in Japan are charged 10% Japanese consumption tax, shown at checkout and on every invoice. Customers outside Japan are not charged Japanese consumption tax.
What if I cancel my annual plan before the term is completed?
You can cancel your plan anytime. If you are on an annual plan, your plan's price will be recalculated at the monthly rate for the period you used, up until the day of cancellation. Sample calculation: Standard annual at $129 a month. You paid $129 × 12 months = $1,548 up front. You cancel part-way through month 5; part months are rounded up to a full month, so 5 months are re-rated at the monthly price of $155: $155 × 5 months = $775. Your refund is $1,548 − $775 = $773.
What happens if I cancel after buying at an offer price?
The discount applies to the term you paid for, so cancelling early is re-rated at the standard monthly price for the months you used — the campaign rate is not carried into the refund calculation. Sample calculation: Standard annual at $129 a month with a 30% campaign discount. You paid $129 × 12 = $1,548 less 30% = $1,084 up front. You cancel part-way through month 5; part months round up, so 5 months are re-rated at the standard monthly price of $155: $155 × 5 = $775. Your refund is $1,084 − $775 = $309. Because the discount was taken up front, cancelling early returns less than it would on an undiscounted plan — the longer you stay, the more of the campaign benefit you keep.
How soon will I receive my refund after cancellation?
We process refunds as soon as possible. Depending on your bank or payment provider, processing can take up to 15 days from the date of cancellation.
