How FileEazy supports legal departments

Contract management

Keep every contract in one repository instead of shared drives and email. Each contract carries its own fields (counterparty, contract type, value, start date, expiry and renewal date, owner) so you can filter and report on the whole portfolio, not just find a file.

Drafts go through approval workflows with conditional routing (for example, legal review first, then the business owner, then a director above a set value), and every revision is kept in version history. Each contract shows how long it has left before it expires, saved searches list everything expiring in a given period, and scheduled automation rules can send reminders to the owner, so auto-renewals and notice periods are not missed.

Retention

Record the retention period and review date on each document or record, based on your own retention policy and the laws that apply to you. In Japan, for example, transaction records generally have to be kept for seven years under the Corporation Tax Act.

Filters and saved searches list records by their retention end date, and scheduled automation rules can remind the person responsible to review them. Disposal is a deliberate, permission-controlled action rather than automatic deletion, and every deletion is recorded in the audit log; deleted items can be recovered until they are permanently removed.

Access rights

Privileged and confidential material should only be visible to the people working on it. FileEazy sets permissions by role and by branch, department, folder and individual file, so a matter can be restricted to its team, and external parties see only what is shared with them.

Shared links can require a password, and every view, download, edit and permission change is written to the audit log, which helps when you have to show who accessed a document and when.

E-signature

Send engagement letters, NDAs and agreements for signature from the same place you store them. Set the signing order, require a one-time passcode sent by email, and track each signer. Every plan includes a monthly allowance of signature requests with no per-envelope fees, and certificate-based signing is available on Business and Premium.

When everyone has signed, the completed document and its signature audit trail (who signed, when and how they were verified) stay with the contract record, so there is no separate e-signature archive to reconcile.

Frequently asked questions

Can FileEazy remind us before a contract expires or renews?

Yes. Record the expiry or renewal date on the contract: it shows how long is left, a saved search lists contracts expiring in a given period, and scheduled automation rules can send reminders to the owner.

Can we restrict a matter to the people working on it?

Yes. Permissions can be set by role, branch, department, folder and individual file, so a matter folder can be visible only to its team. Every access and change is recorded in the audit log.

Are e-signatures in FileEazy valid in Japan?

Most commercial contracts can be concluded electronically in Japan, and FileEazy records who signed, when and how they were verified. A few documents still require paper or specific formalities by law, so check those with your legal advisers.

Does FileEazy have a legal hold feature?

There's no one-click legal hold switch. To preserve documents for litigation, restrict edit and delete permissions on the relevant folders; version history keeps every earlier version, and the audit log records any access or change.

Can we search the text of scanned contracts?

Yes. Scanned documents and PDFs are processed with OCR in Japanese and English, so you can search their full text alongside contract fields such as counterparty and expiry date.
