Audit trails: your quiet compliance superpower

Nobody gets excited about audit trails until the week they need one. Then it's the only feature that matters. I've sat in on enough customer calls during actual audits to notice a pattern: the companies that sail through are the ones who never had to think about their audit trail in advance, because it was just always running in the background.
What "complete" actually means
A useful audit trail isn't just a login log. It needs to answer, for any document, at minimum: who viewed it and when, who edited which fields, who approved or rejected it, who downloaded or shared it and with whom, and whether anyone tried to delete it. Most systems capture the first one or two of these and call it a day. The gap shows up exactly when an auditor asks the sixth question.
Immutability is the part people forget
A log that admins can edit isn't an audit trail — it's a suggestion. If your document platform lets anyone alter, backdate, or delete history entries, that log won't satisfy an auditor who's seen the trick before, and more importantly it won't survive an internal dispute either. We built FileEazy's activity log append-only for this reason: entries can be added, never edited or removed, including by us.
A real example
One of our customers, a healthcare billing service, went through a HIPAA-related audit last year. The auditor asked for proof of exactly who had accessed a specific patient billing record over an 18-month window, including any exports. Because that history existed automatically — not because anyone had manually logged it — the answer took ten minutes to produce instead of a week of reconstructing email threads. That's the actual value of an audit trail: not passing the audit, but not treating the audit as an event that requires preparation at all.
If your current setup would require someone to "go dig up" that kind of history, it's worth asking what that reconstruction would actually cost you the day you need it fast.
How FileEazy helps
Every view, edit, approval, and download in FileEazy writes to an append-only activity log — including for admins. When an auditor asks who touched a document and when, you export the answer instead of reconstructing it from memory.
