App use cases
Practical examples of apps you can build in FileEazy without code - employee management, project management and reporting, recruitment, customer, contract, vendor and asset tracking.
FileEazy lets you build the business apps your team actually needs, without writing code. This section shows practical examples. Each one lists the lists to create, the fields worth including, how the lists connect, who should be able to do what, and how to report on the results, so you can copy the idea and adapt it.
How to turn a process into an app
The same five questions work for almost any process.
- What are the "things" you keep track of? Each kind of thing becomes a list: employees, projects, candidates, contracts.
- Which one is the main thing? That list is the app's primary list. The others are secondary lists.
- How do the things connect? One project has many tasks. One job has many candidates. These links become relationships.
- Who needs to see or change what? Decide the roles, then set permissions on the app, the lists and sensitive fields.
- What do you need to know at a glance? Filters, saved searches, the dashboard and Data Explorer answer this, and you can export data to share it.
Then follow Build a custom app: create the lists, add them to an app, link them and set permissions.
Detailed examples
These examples walk through the whole design, from the lists to the permissions to the reports.
| Example | What it covers |
|---|---|
| Employee management | Employee records, leave requests, training and certifications, and signed employment contracts. |
| Project management and reporting | Projects, tasks, time and risks, with status reports for managers and clients. |
| Applicant tracking for a recruitment agency | Clients, jobs, candidates, applications and interviews, with a pipeline view and offer letters. |
| Hospital and clinic patient administration | Patients, appointments and visits, with department-level access and signed consent forms. |
| Law firm matter management | Matters, clients, time entries and key dates, with confidential access and e-signed engagement letters. |
More ideas
Shorter blueprints you can build the same way. Each shows the lists, with the primary list first.
| App | Lists | Why it helps |
|---|---|---|
| Customer management | Customers (primary), Contacts, Contracts, Support requests | Everything about a customer in one place, with contract documents attached to the customer record. |
| Contract management | Contracts (primary), Counterparties, Renewals, Amendments | See which contracts are about to expire, keep each version of the document, and send new versions for e-signature. |
| Vendor and purchase management | Vendors (primary), Purchase Orders, Invoices, Approvals | Keep supplier details together, and route purchase orders to approvers before they are placed. |
| Asset register | Assets (primary), Assignments, Maintenance, Warranties | Know who has which device, when it was last serviced and when its warranty ends. |
| Student or member records | Students (primary), Enrolments, Fees, Documents | A single record for each person, with their documents and history linked to it. |
| Facilities and requests | Requests (primary), Locations, Vendors | Collect requests through a form, assign them, and track them to completion. |
Building blocks you can reuse
Whatever you build, these features do most of the work:
- File fields attach documents, such as contracts and CVs, directly to a record. The files live in the File Manager, where you can also send a document for e-signature. See Send a document for signature.
- Relationships connect lists, so you can see a customer's contracts or a project's tasks from the record.
- Automation rules react to events, such as a new record or a status change, and create or update records or send notifications. See Build a workflow.
- Approvals route a record or document to the people who must approve it. See Approvals and routing.
- Field and list permissions keep sensitive information, such as salaries or candidate contact details, visible only to the right people. See Roles and permissions.
- Saved searches, the dashboard and Data Explorer give you reports without leaving FileEazy. See Saved searches and Data Explorer.
- CSV import loads existing data from a spreadsheet when you move into a new app. See Bulk upload.
