Find your way around a list

What every button on a FileEazy list screen does, and how to search, sort, choose and arrange columns, act on several records at once, and share or export what you see.

Records, files, users, signature requests: almost everything in FileEazy is shown on the same kind of screen, a table with a toolbar above it. Learn it once and you can find your way around every part of FileEazy.

The screen at a glance

Select a number on the screenshot to see what that button does, or select Take the tour to go through them all in order.

The example is the Customers list in a customer management app, but the same toolbar appears on lists, apps, the File Manager, users, roles and the other screens.

Sort records

You can sort in two ways:

  • From a column heading. Select the arrows in the heading. The first time sorts ascending: A to Z, smallest to largest, oldest to newest. Select it again to sort descending, the other way round. An arrow in the heading shows which column is sorted and in which direction.
  • From the Sort button above the table on the right. It shows the current sort, such as Customer Name ↑. Open it and choose a column. Choose the same column again to switch between ascending and descending.

Sorting is the fastest way to answer questions such as "which contracts end soonest" (sort End Date ascending) or "what changed most recently" (sort Updated Date descending).

Choose which columns you see

A list can have many fields, but you rarely need them all at once. Show only the columns you need for the task in front of you:

  1. Open the table menu (⋯ at the top right of the table) and choose Show/Hide Columns.
  2. Tick the columns you want and untick the rest. Select All at the top shows every column again.

To hide one column quickly, select the × in its heading. You can bring it back from Show/Hide Columns at any time. Hiding a column only changes your view: the data is still there, and other people still see their own choice of columns.

Arrange the columns

  • Move a column: drag its heading by the ⠿ handle to the left or right.
  • Resize a column: drag the edge of its heading to make it wider or narrower.

FileEazy remembers your column order, widths, visible columns and sort for each table in this browser, so the screen opens the way you left it.

To start again, open the table menu and choose Reset Table Preferences. The table goes back to its standard layout.

  • Quick search: choose a column (or Search All), a match such as Contains, Equals or Starts With, type your text and select the search button.
  • Search one column: select the funnel in a column heading and type in the box that opens.
  • Advanced Search: the button next to the search box. Combine several conditions, match all or any of them, and save the search to use again.

Filters you apply appear as tags above the table. Select the × on a tag to remove it. See Filter lists to find what you need for more.

Work with several records at once

  1. Tick the box at the start of each row you want, or the box in the toolbar to select every row on the page.
  2. Open the Actions menu (the arrow next to that box) and choose what to do with all of them, such as Delete, Move, Check In, Check Out, Activate or Deactivate. The choices depend on the screen and your permissions.

Open a record

Select the ⋯ button at the start of a row to View, Edit, Duplicate or Delete that record, among other actions. See Work with the data in an app.

Use the tabs

The tabs above the toolbar show different sets of records for the same list. The number beside each tab is how many records it holds.

Tab What it shows
Data The live records.
Imported Data Records brought in from a CSV file. See Bulk upload.
Checkout Data Records someone has checked out to edit.
Favourites Records you have marked as favourites.
Recycle Bin Deleted records, which you can restore.
Audits Every change made to the list's records, and who made it.

Move through the pages

At the bottom of the table, Showing 1 to 10 of 14 entries tells you where you are. Choose how many rows each page shows, and use the arrows to go to the next, previous, first or last page.

Refresh, share and export

The table menu (⋯) also has:

  • Refresh: reload the records, for example to see something a colleague has just added.
  • Share: copy a link to exactly what you are looking at, including the tab, search and sort, to send to a colleague. They see the same view, limited to what they are allowed to see.
  • Export: download the records.

Why it's worth setting up your view

  • Less scrolling. Only the columns you need, in the order you read them, so each record fits on one line.
  • Answers at a glance. A sort or a saved search turns a long list into the short list you actually need.
  • The same everywhere. Lists, the File Manager, users and roles all work the same way, so there is nothing new to learn on each screen.
  • Easy to undo. Nothing you change here alters the records, and Reset Table Preferences puts everything back.
